Scheduling Secretary Womens Health


UPMC Magee-Womens Hospital is seeking a Full-time Scheduling Secretary to support the Labor and Delivery department!

This position will work Monday through Friday 8:00 a.m. to 4:30 p.m. Hours are subject to change based on business needs.

The Scheduling Secretary schedules all procedures performed in the Womancare Birth Center, all functions relevant to prepare the daily schedule, statistical data collection, patient charging, and medical record preparation. Manage the oversight of other HUCs in the Womancare Birth Center.



  • Add all newly phoned in cases to the Surginet Scheduling System as per departmental scheduling guidelines.
  • Accurately perform various data entry submissions in departmental computer applications in include Word, Excel, Surginet, SMS.
  • Ability to operate all automated office equipment to include computers, fax machine and copier.
  • Maintain confidentiality in all patient related interactions.
  • Maintain competencies to provide relief for the Health Unit Coordinator position as needed.
  • Receive messages from the C/Section and induction scheduling lines.
  • Prepare and fax daily, the schedule for both C/Section and inductions to all required areas, including Administrative Clinician, Main OR, VP Patient Care Services, Anesthesia, Information Desk and Parking each morning.
  • Generate the following day preliminary schedule. Prepare patient chart folders for each patient and retrieve all necessary previous records. Fax a final schedule to all ancillary departments at the end of each day's shift.
  • On a daily basis, ensure all demographic/procedural information is correctly entered in the Surginet Scheduling System.
  • Perform daily QA regarding Womancare Birth Center OR utilization and induction usage. Prepare daily OR dashboard for distribution. Prepare monthly delivery, OR and induction statistics.
  • On a weekly to monthly basis, prepare department Health Unit Coordinator meeting agendas and educational materials and distribute to all department staff and supervisors.
  • Enter patient charging information in the hospital information system.
  • Perform telephone reception duties to include triaging phone calls for clinical and medical staff members and scheduling, data, report, and medical records requests.
  • Assist in competency evaluations and educational programs for department Health Unit Coordinators.



  • High school diploma.
  • Associates degree or 3-5 years related work experience preferred.

Licensure, Certifications, and Clearances:

  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
