Intake Coordinator


Act as the first point of contact for behavioral health referrals. Utilize clinical skills to gather referral information and help patients and families through the intake process. Conduct lethality screening and refer to appropriate crisis and emergency services as needed. Directly schedule patients for initial evaluation within the designated service line and interface with clinical and administrative staff. Mentor other intake staff in clinical information gathering, lethality screening, and referral processes. Act as a point person for the department, including fielding higher level patient and provider questions. Maintain all referral logs and gather/analyze referral data.



  • Perform all duties and responsibilities in a fashion that coincides with the service philosophy of UPMC, including the demonstration of the Basics of Service Excellence towards patients, visitors, staff, peers, physicians and others within WPIC and UPMC.
  • Act as first point of contact for behavioral health referrals; utilize clinical skills to gather referral information and help patients and families navigate the intake process.
  • Maintain up to date knowledge of all service line and program offerings, as well as some general understanding of offerings outside the direct service line.
  • Participate in Administrative, Departmental and Treatment meetings as needed.
  • Coordinate and support, inter agency meetings as needed.
  • Conduct supportive sessions to engage patients and families as needed.
  • Represent UPMC at community outreach events focusing on the recruitment of new clients.
  • Provide coverage for intake staff across the service line as needed.
  • Conduct thorough lethality screenings and refer for emergency services as needed.
  • Maintain up to date referral logs, collect and analyze referral data, including clinic-specific and total service line data depending on the need.
  • Collect all intake paperwork required by program standards.
  • Directly schedule patients for services within the designated service line or program.
  • Oversee onboarding, training, and scheduling of new intake staff.
  • Conduct regular quality assessments of the department and develop sound quality improvement plans.
  • Maintain strong, positive working relationships with all Program Administrators and Clinical Leadership.



  • Bachelors Degree
  • Masters preferred
  • 5 years experience with Behavioral Health Intake and Referral Management or equivalent.
  • Supervisory experience preferred.

Licensure, Certifications, and Clearances:

  • Act 31 Child Abuse Reporting with renewal
  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
