Description

Purpose:
The Leave Specialist II provides administrative and transactional support services for employees' leave of absence requests in addition to providing support to peers and operational team members. Services include advising employees and manager on all leave of absence policies and processes (i.e. FMLA, Military, Company specific leaves, etc.), support for HR Professionals, Payroll/HRIS updates, employee and manager communications and case tracking.

Responsibilities:

 

  • Assists in the identification of recommendations to positively impact the efficiency and quality of service delivery.
  • Apply concepts and rules as mandated by guidelines for FMLA and other federally or state mandated or company specific leaves in coordination with customer policy.
  • Provide mentoring support to peers when dealing with challenging leave issues such as extended time away from work, complex medical diagnoses and recertification issues.
  • Track employee leave of absences as reported via web, fax, phone and e-mail.
  • Coordinates the leave process; verifies eligibility, determines leave approval, calculates leave length, coordinates the applicable client leaves including integration with state leave laws, monitors maximum duration of leave allowed under federal/state and/or client policy, and supports the return to work process.
  • Utilizes HR information system [Peoplesoft], payroll system [Kronos] and web based vendor software as needed to input and update leave data and generate reports.
  • Advises employees, employee's family members, managers and HR Professionals on leave policies and processes.
  • Assist Supervisor, Leave Management in the analysis of absence patterns and issues to be reviewed and addressed with the client. Provide recommendations to improve identified issues or address opportunities to improve absence patterns.
  • Assist in the generation of reports for Leave team such as overdue tasks and PeopleSoft weekly reports.
  • Responsible for resolving issues by interacting with employee's manager, Human Resources, payroll or disability specialists.
  • Participate and develop on demand client trainings to facilitate ongoing understanding and knowledge of the regulations and client specific policies.
  • Supports in-bound and outbound employee leave related calls.
  • Throughout the duration of the leave, specialist is responsible for all communications with the employee, the employee's manager, Human Resources and all integrated partners e.g. disability specialist to coordinate concurrent short-term disability benefits.
  • Assist in the generation of client on demand reports such as open case lists and reports of employee usage.

 

Qualifications

  • Bachelor's degree required concentration in HR or business preferred or equivalent experience
  • Minimum of 3 years of leave of absence processing experience required.
  • Strong PC skills are required (including spreadsheet applications, word processing, and other professional databases).
  • Ability to communicate effectively both verbally and in writing.
  • Ability to work independently and handle multiple priorities and deadlines required.
  • Comprehensive knowledge of federal and state leave laws as well as client leave policies required.
