Purpose:
Under general direction, coordinates the workflow of administrative and/or clerical employees and provides varied administrative support of a complex and technical nature to single or multiple department(s) or a division.
Responsibilities:
- Plans conferences for department and department head
- Under general direction coordinates the workflow of employee(s) and provides administrative support of a complex and technical nature to single or multiple department or division (i.e., organizes, plans, and prioritizes work of others, develops and builds teams to accomplish project assignments)
- Performs all responsibilities of an Administrative Assistant Sr
- Provides input to presentations and other department/supervisor work (i.e., supervisor provides general thought and ee will draft more material based on initial ideas)
- Reviews administrative procedures and operating practices and makes recommendations to increase efficiency.
- Assists in recruiting, hiring, training, and evaluating the performance of employees
- Analyzes complex information requests and determines complex trends
- Develops reports for executive or department
- Develops and sends correspondence on behalf of department and department head (i.e., draft and send meeting minutes, draft and send meeting events)
- Demonstrates a logical and pragmatic approach in researching, analyzing and resolving issues
- Maintains effective control and organization of simultaneous projects and assignments; assists management team with meeting deadlines
- Coordinates committee meetings:o System HIM Committee: (equipment set up and use, scheduling, communication of meeting information to members, creates Power Point presentations, data collection, create standard and special reports , take minutes, arrange catering, attendance tracking, CE form, create meeting summary and communicate with Med Staff Office) o Systems Forms Committee: receives draft forms, communicates with requestors re any questions/issues, circulates and tracks forms for review, coordinates tasks with Print Shop
- Coordinates calendars and schedules meetings/conference calls for senior HIM team; schedules rooms, arranges catering, takes minutes.
- Use ePro to creates purchase orders, orders supplies for all HIM offices and satellite locations, monitors inventory, investigate and recommend alternative products, assist with monitoring expenditures to the budget
- Develops and distribute statistical and informational reports for HIM internal and external recipients
- Makes all travel arrangements for approved meetings and trips
- Coordinates expense approval processing
- Reviews administrative procedures and operating practices, makes recommendations to increase efficiency
- Responsible, versatile individual to provide administrative support for a large Management team who oversee varied functional areas within the HIM department. Health Information Management is a complex multi-facility, multi-campus department.
Qualifications
- High school diploma or equivalent.
- 5 years experience in an increasingly responsible administrative support role.
- Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation, and database software.
- Ability to use applicable MS Suite products.
- Advanced knowledge of business processes and procedures.
- Working knowledge of accounting and financial principles and functions.
- Ability to analyze data.
- Ability to use discretion and independent judgment.
