We're hiring an Executive Assistant to the Office of the President for our UPMC Corporate Executive Support team!  This position works standard business hours, Monday through Thursday, 8:30AM-5PM, and Friday, 7:30AM-4PM, on Floor 62 of the US Steel Tower.  

As the Executive Assistant to the Office of the President, you will provide general office administrative support to the President & CEO of UPMC and our Sr. Staff Associate to President & CEO.  This position must ensure 100% accuracy to detail in carrying out job responsibilities.  The ideal candidate would effectively and efficiently handle all aspects of assigned duties with minimal supervision.

  • Performs reception and general office duties, screens and directs telephone calls.  Relays information and messages promptly and accurately to appropriate individual.

  • Courteously meet and greet guests in a professional, helpful manner and escort guests to appropriate individual/area.

  • Utilize Workspeed program for entering guests to allow access through the USS building security system.

  • Provides coverage to the 62-floor lobby desk.

  • Performs routine clerical functions, such as distributing daily mail, copying, sorting, and filing.

  • Preparation and submission of disbursement requests, purchase orders, etc.  Order office supplies and maintains office equipment as needed.

  • Preparation and distribution of correspondence and material.

  • Prepare, maintain and distribute current multiple telephone directories for President’s Office.

  • Coordinate and maintain conference room(s) schedules on both paper and electronic calendars. Review schedules with Catering and AV Support staff.  Maintain tickler system for conference room requests and coordinate with lobby desk staff.

  • Schedule swing offices on the 62nd floor.

  • Maintain up-to-date UPMC brochures for main lobby.

  • Attend floor warden classes and perform drills for the 62nd floor.

  • Schedule delivery and removal of large confidential destruction bins.

  • Provide backup office support to visiting executives and staff on the 62nd floor.

  • Provide backup office support to Executive Assistant II as needed.

  • Attend meetings and training sessions as required.

  • Protect the integrity and confidentiality of all data and information through physical and/or electronic means.

  • Punctualality required. 

  • Ability to work extended hours when required.

  • Other duties as assigned.

  • Performs in accordance with system-wide competencies/behaviors.




  • High School diploma.

  • Five Years+ of office clerical/administrative support experience at executive level support.

  • Excellent calendar management skills.

  • Computer experience required. 

  • Proficiency in Microsoft Office products required. 

  • Ability to work with minimal supervision and exercise sound judgment. 

  • Ability to handle confidential materials and sensitive issues in a professional manner. 

  • Good organizational, planning and communication skills necessary.
