Description

Job Summary

Provide administrative support to the Administrators of Bone and Joint / Spine Care Center. Perform duties and responsibilities in a manner that coincides with the service management philosophy of the Bone and Joint / Spine Care Center, including demonstration of basic service excellence towards the patients, family members and staff. residents.

This position will work the following shifts:

  • Monday/Wednesday/Thursday/Friday 7:30am-5pm
  • Tuesday 8am-6pm

 

Responsibilities

  • Each coordinator is responsible for schedule management in the Bone and Joint / Spine Care Center as assigned.
  • Collaborates with the nursing facilities' admission assistant to maintain and ensure accuracy of real time bed availability and communicates this information to the clinical nurse liaisons and referral discharge planners as needed.
  • Communicates the need for follow up on residents transferred to the hospital to the nurse liaison.
  • Consistently works cooperatively and pleasantly with all patients, family members, referral sources and staff.
  • Coordinates daily referrals and incoming phone calls.
  • Receives and uploads patient information received from referral sources.  
  • Obtains clinical and financial information, verifies insurance/payer, appropriately triages, and provides an accept/deny decision in a timely manner according to the UPMC process.
  • Effectively communicates and prioritizes requests for clinically complex referrals to clinical staff and/or practice manager.
  • Completes preadmission data entry of demographic and preliminary financial information
  • Manages the facilities' referral waiting list daily, to ensure shortest wait time possible, communicating any changes to the Practice Manager.
  • Performs in accordance with system-wide competencies/behaviors.
  • Performs other duties as assigned.

 

Qualifications

  • Associate's degree or completion of secretarial program is preferred.
  • High school diploma or equivalent.
  • Three years of administrative support experience required.
  • Proficient with personal computers, word processing, spreadsheet and data base management, email, and electronic scheduling (Microsoft Word, Excel, Access, Powerpoint) and use of Internet is required.
  • Excellent organizational skills and office management experience preferred.
  • Courtesy, diplomacy, service excellence, confidentiality and good judgment are inherent in the job and are pre-requisites.
  • Ability to communicate with all customers including residents, family members, visitors and staff is required.
  • Ability to exercise judgment in evaluating problem situations and take initiative in referring such situations to the appropriate person is required.
  • Ability to demonstrate composure at all times exhibiting courtesy, respect and a helpful positive attitude at all times in face-to-face and telephone interactions with customers is imperative.
  • Ability to prepare accurate typed material and complete assignments with accuracy and attention to details in a timely manner is required.
  • Physical activities essential to satisfactorily perform this position involve; balance, crouching, grasping, fingering, kneeling, lifting 35-50 pounds without assistance, pulling, pushing, reaching, standing, and stooping.
  • Sensory and communicative activities essential to satisfactory performance in this position include; hearing seeing, smelling, speaking, tolerating an above average level of stress and maximum interaction with people.
  • Strong time management skills and the ability to prioritize multiple tasks are required.
  • Possibly be exposed to inside environmental conditions, physical hazards and chemical hazards.


Licensure, Certifications, and Clearances:
Clearances must be dated within 90 days
 

  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
