Description

Purpose:
Maintain a portfolio of real estate leases as assigned. Draft leases using standard forms, edit lease forms provided by landlords, negotiate lease language in a positive manner, abstract and record final leases using MRI real estate database system, initiate and monitor leasing paper flow throughout the life of the lease including full execution of lease documents. Interact with Physicians, Administrators, Managers, Executives, Directors, Attorneys, and Landlords on a regular basis. Travel to UPMC Hospital locations is required along with travel to third-party sites for improvements and building conditions.

Responsibilities:

  • Assist with the physician real estate acquisitions by participating in site tours, evaluation of existing leases, draft assignments, evaluation of fair market value, and lease negotiation.
  • Perform Property Management duties on an as-needed basis such as roof leaks, janitorial concerns, plumbing, etc.
  • Assist with the tenant improvement process by participating in meetings with landlord, user group, and architect to match tenant needs with space, and compliancy to UPMC standards, and prepare a draft layout. Assists in the tenant improvement process for new build-outs. Attends weekly construction meetings during project. Obtains reimbursement from landlord as required and commences rent payments/reimbursement for construction to/from landlord.
  • Negotiate new leases, renewals, and terminations to favorable terms for the Hospital which includes minor tenant improvement work
  • Coordinate the closeout/surrender of third party leased sites with Administrators, Construction team, and Landlords. Retrieve Security Deposit from Landlord, if applicable.
  • Coordinate, redline, and track with Legal for Estoppel and SNDA documents in the time frame necessary
  • Utilize queries to extract information from the real estate database.
  • Enter lease document and final information into the real estate database.
  • Review proposed leases for negative and affirmative language
  • Maintain current, efficient, and accurate filing systems for easy retrieval and tracking of lease documents and financials
  • Assist various other Corporate Real Estate departments (Construction, Signage, Property Management) on an as needed basis. May need to coordinate approval from Landlord on various projects and assist in the project until completion.
  • Prepare and distribute reports, spreadsheets, memorandums, and other various lease documents.
  • Review lease documents for maintenance issues and responsibilities and coordinate with Landlord for payment
  • Prepare and present weekly updated reports for Hospital leadership. Meet with hospital and business unit executives to present lease activity, discuss upcoming renewals, terminations and options, and new physician acquisitions as related to space.
  • Draft and edit leases, lease amendments, and other documents using standard forms.
  • Prepare lease abstract narratives from lease agreement documents.
  • Assist with the new site selection process by participating in broker selection process and site tours with physicians, administrators and landlords. Observes the site comparison process, evaluation of layouts, construction requirements and costs, determination of fair market value of space, and the negotiation of lease rates, terms and letters of intent.
  • Track options and expiration dates for all leases and provide notice as needed
  • Update and confirm timeshare space and usage on an annual basis with Administrators

 

Qualifications

  • Bachelor's degree in a business related field and 2 years of relevant real estate experience or Highschool diploma and 6 years of relevant real estate experience required.
  • Solid understanding of lease terminology and the ability to read and interpret legal and construction documents.
  • Proficiency in Microsoft Office (Word, Excel,
  • Strong financial and analytical skills.
  • Ability to understand and interpret data.
  • Excellent verbal and written communication skills.
  • Ability to multitask, work successfully under pressure and effectively manage time and workload.
  • Ability to maintain confidentiality, effectively respond to changing circumstances, and escalate work issues appropriately.
  • Job requires travel.
