Coordinator, MWRI Operations

Description

UPMC Magee-Womens Hospital is seeking a Full-time Coordinator, MWRI Operations to support the Research Operations department!

This position will work Monday through Friday from 7:30 a.m. to 3:30 p.m. Hours are subject to change based on business needs.

The Operations team for MWRI is responsible for many facets of the day-to-day functions of the institute, focusing on both the needs of the laboratories and the administrative offices. The team is dedicated to facilitating the amazing research done by the investigators and their research teams. The Coordinator will work closely with the Operations Manager and the Scientific Operations Manager to achieve the institute’s goals. The ideal candidate will be customer-service oriented, able to pivot between competing priorities, and capable of handling numerous time-sensitive tasks. 

The Operations Coordinator is responsible for assisting the MWRI Chief Operating Officer in the management of day to day operations associated with the MWRI as it relates to the physical plant, waste management, cleaning, add/moves/changes of personnel, oversight of special deliveries, and pick-ups, access management for our facilities, including laboratory and animal facilities, and acts as a key liaison for the COO with MWH Facilities, MWRI Purchasing, MWH Loading Dock, MWH Safety and Security, UPMC, the University of Pittsburgh, vendors and contractors. This position will also sit on relevant accreditation committees related to laboratory and building operations. This position will also have responsibility for budgetary recommendations and review of budget status as it relates to the above-mentioned responsibilities.

Responsibilities:

  • Act as a central resource for MWRI personnel to address building maintenance and physical plant needs. This includes the review, submission, and monitoring of work orders to MWH Facilities or other UPMC or University of Pittsburgh business units.
  • Monitors the budget for the department; monitors ongoing expenses, follows up and corrects discrepancies and ensures budge goals are met. Authorizes budget variances.
  • Acts as a central resource for MWRI personnel to handle special deliveries and pick-ups for MWRI laboratories and facilities that require coordination.
  • The key point of contact for contractors and select vendors.
  • Ensure compliance with building operations policies and procedures. Make recommendations to policies and procedures
  • Participate in key accreditation committees related to MWRI Operations, including but not limited to annual lab reviews, AAALAC, and IACUC.
  • Assist the COO with special projects as needed.
  • Coordinate all add/moves/changes of personnel within the building.
  • Ensure the space management plan for the MWRI facilities is current and up to date.
  • Manage access to MWRI facilities/locations. Authorizes building access including issuing of keys and badges.

Qualifications

  • Associates Degree or four years of equivalent experience in Research or Health Care environment.
  • Knowledge of research operations and facilities.
  • 3-5 years of operations experience in a research environment.
  • Successful demonstration of the completion of the competencies required by the department/unit.
  • This individual must be able to demonstrate the knowledge and skills necessary to provide care and/or interact appropriately to the ages of the patients served by his/her assigned unit as specified below. They must also demonstrate knowledge of the principles of growth and development over the life span and possess the ability to assess data reflective of the patient's status and interpret the appropriate information needed to identify each patient's requirements relative to his/her age-specific needs and to provide the care needs as described in the department's policy and procedures.
  • Special Skills and Abilities Required:
  • Strong organizational and analytical skills.
  • Strong interpersonal skills to communicate with the MWRI Administration, scientist, staff and external business partners.
  • Flexible approach and an ability to work in a non-structured environment.
