Description
Purpose:
The Grants Assistant is as an assistant to the Grants Specialists to help in administering and facilitating the pre-award grant preparation and submission process as well as other Pre-Award activities in the Office of Grants and Contracts for Western Psychiatric Hospital; Department of Psychiatry principal investigators (PI).
Responsibilities:
- Pre-Award: Assist Grants Specialists with:
- Proposal submission and preparation of grant and contract budgets following specific guidelines
- Preparation of JIT materials as needed
- Initiation of unobligated balance request for Progress Report preparation
- Post-Award:
- Provides support to the Post Award team with grants activation, budget adjustments, expense transfers (Journal Entries), effort modification and reporting, sub-award set up, account closeouts
- Produces financial reports by grant with projections of expenses using the Department's Financial Software System
- Personnel:
- Provides support to personnel team with preparation and processing of appointment, reappointment, and termination paperwork for University personnel
- Provides backup support to on entry and processing of personnel effort distribution reports
- Manages multiple responsibilities and duties with interruptions and unforeseen changes without risking detail and quality of work - Time management
- Remains current and knowledgeable on agency, University, and UPMC procedures and requirements concerning grants management issues
- Required to maintain confidentiality of classified and sensitive information
- Prepare and revise budgets as grants are awarded
- Prepare COI tables and all personnel report
- Performs other duties and responsibilities as assigned.
- Performs in accordance with system-wide competencies/behaviors.
- Performs other duties as assigned.
Qualifications
- Bachelor's degree (preferably in Accounting, Finance or related field), or currently enrolled in a Bachelor's degree program, preferably in Accounting, Finance or related field of study required
- One year of experience working customer service, finance, accounting, or budget management
