The Jan. 13 Supreme Court of the United States decision that the Centers for Medicare & Medicaid Services federal COVID-19 vaccine mandate will move forward requires UPMC to ensure employees either get vaccinated or receive a requested medical or religious exemption.

Assists with examinations and treatment, takes medical histories, performs certain diagnostic tests, performs limited laboratory procedures, competent in managed care and residency specific coding system, is able to direct/instruct other office personnel, physicians and students in specific components of managed care, and accepts additional duties as assigned. Assists Faculty in teaching interns and Residents how to conform to the requirements of the Health Care Financing Administration (HCFA), the American Osteopathic Association (AOA, and the Residency Review Committee (RRC).



  • Triages patient calls as appropriate. Cleans each examination room between successive patient and replenishes stock items.
  • Check out responsible for priniting visit summary for patient. Check out responsible for following provider's instructions in computer. I.E. return appointments, record release requests, school/work excuses, form copies...etc. Prints off visit summary for patient and lab and imaging orders when needed.
  • Instructs the patient when requested by the physician concerning use of medication, diet, special procedures, and explanation of preparation for ordered tests.
  • Receives all telephone calls for the clinical office practice, refers medical problems to the appropriate physician or medical personnel; refers business or administrative matters to the appropriate department personnel; forwards all messages to appropriate individuals.Precisely records the identification of the caller and their specific concens: i.e. specific problem, duration and symptoms if medically related. Based on the call, creates telephone encounters and directs them to appropriate personnel.
  • Incoming interoffice mail is sorted to clinical, administrative and billing staff in a timely fashion. Check out responsible for daily for incoming mail. Each piece of correspondence must be assessed, verfiy patient is WFP, stamp according to residency guidelines and deliver to appropriate personnel, if not WFP patient route to AFP.
  • Assists Secr/Recept/Billing Clerk in orienting new residents as well as teaching practice management by direct involvement;explains day to day operations and provides hands on experience of medical secretarial job functions. Assists Secr/Recept/Billing Clerk in billing duties as needed and check new schedule in computer and block out specific times as requested in absence of Secr/Recpt/Billing Clerk.
  • Assists the physician, when requested, during office surgery, colposcopy, wound dressing, pelvic , breast exams and sigmoidoscopy; procedures consent form when appropriate. Performs electrocardiography, audiometry, visual testing and tympanometry including the appropriate mounting or calculation.
  • Sends insurance referrals to specialist for patients that have an upcoming appointment or have already arrived for their appointment when requested by Physician.
  • Check in responsible for walk in patients:1. Requests for new patient appointment and appropriate record release.2. Flu/Pneumonial/PPD shots and readings, lab specimens including necessary labels.3. prescription requests, prescription pick up or follow up on formulary problems.4. Referral requests or pick up5. Form drop off or pick up, action is dependent upon date from needed by patient and type of form presented.
  • Accurately Performs:1. Urine dip stick, exton and ictotest2. Blood specimen drawn via finger stick and venipuncture3.Rapid strept and pregnancy tests4. Obtain and process cultures for transport5. Preparation of slides for KOH, wt prep, UA
  • Responsible for reviewing pediatric managed care lists in order to make appointments for EPSDT exams. Responsible for assessing pediatric appointments for time appropriateness of performing EPSDT exams. Give appropriate paperwork to patients.
  • Secretarial Responsibilities:Schedules all patient appointments for physician visits in compliance with residency requirements.Takes calls for OB patient and schedules appointments.
  • Represents the Department in its role of Primary Care Provider and is competent and is responsible for coordination of patient care with the various managed care programs to include:1. Verifying member eligibility2. Selecting participating specialist or facility 3. Properly completing designated form and obtaining signature of PCP4. Understanding all components and protocol for obtaining out-of-plan referrals, need for pre-certification program.
  • Monthly data collection from EMR to report IPIP collaborative.
  • Makes initial contact with all patients to obtain demographic data. Observes managed care guidelines in assessing appointment assignment. Responsible for entering all pertinent patient data on the computer daily and make necessary changes/additions. Responsible for marking inactive patients appropriately.Records payments from patients in computer. Fiven patient receipt for all monetary transactions. Received credit card payments. At end of shift, does daily journal and at end of day closes out credit card machine
  • Track all PT/INR, labs and x-rays and obtains results that have not been received and if no results available, sends orders to physician and/or nursing staff to follow up with patients.
  • Adheres to standard universal precautions. Obtains and records on patient chart height, weight, vital signs and chief complaint.
  • Displays a courteous and professional demeanor when working with all representatives involved in various managed care agencies and facilities.
  • Review next day schedules-mark reason for visit with G* and adds G* modifier in E&M code section to billing data.
  • Assists Residents, Faculty, students and other office personnel with specific learning components of managed care regulations, referrals and forms.
  • Responsible for completing requests for release of medical records, review each incoming request for HIPAA compliance, return non-compliant requests; determine the appropriate records to be copied, copy appropriate records, forward to person making request, and bill for copying and answering incoming calls concerning the status of record requests in absence of Secretary. Responsible for reviewing and scanning all forms to medical record. Mail, fax and or notify paitient to pick up completed form.



Must have high school education.

Successful completion of Medical Assistant program (certification preferred not required) or equivalent hospital program or minimum of one year of direct patient care experience.

Must have basic computer skills and knowledge of medical terminology, examination, diagnostic and treatment room responsibilities.

Licensure, Certifications, and Clearances:
CPR required based on AHA standards that include both a didactic and skills demonstration component within 30 days of hire

  • Basic Life Support (BLS) OR Cardiopulmonary Resuscitation (CPR)
  • Act 31 Child Abuse Reporting with renewal
  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
