Assures a positive first impression is created for patients and physician offices by accurately scheduling and pre-registering patients by telephone for various services. Explains hospital policies and procedures to patients / physician offices prior to their arrival by exercising outstanding communication skills.



  • Performs all other duties as assigned or deemed necessary in the departments mission to serve patients
  • This position requires written and verbal communications (both one-on-one and telephone) skills. Will be in contact with the entire hospital staff, referring physicians and their office staffs, patients and family members on a daily basis.
  • Maintains a working knowledge of all necessary computer systems.
  • Complies with all department and system policies and procedures.
  • Incorporates new policies and procedures into daily responsibilities, and asks manager questions when clarification is needed.
  • Provide recommendations for improving department systems, policies and procedures.
  • Follows up on patient concerns or questions
  • Refers self-pay and uninsured patients to financial counselors so payment plans can be arranged or applications for Medical Assistance can be initiated.
  • Notifies physician offices of pre-certification requirements.
  • Reminds patients about insurance co-payment, referral form and deposits as needed.
  • Provides directions and instructions to physician offices, patient and or family members.
  • Participates in Performance Improvement projects as assigned
  • Faxes back appointment information to referring physician offices
  • Provides for patient confidentiality and privacy at all times.
  • Obtains, verifies and corrects registration information of new and existing patients. Obtains demographic, financial and guarantor information on scheduled patients prior to scheduling appointment. Enters or updates information in Soarian Financials accurately, verifies and revises existing information on patients that have not been interviewed within the past 30 days.
  • Accurately schedules appointments, with attention to all scheduling criteria and physician availability.
  • Redirects telephone calls and takes messages, when appropriate, interacting with the staff and management of all departments when necessary.
  • Answers all phone calls promptly, with a clear focus on customer service.



  • High School Graduate or equivalent
  • Minimum of three years scheduling or registration experience
  • Medical Terminology Required with 80% pass rate on our exam or confirmation of Medical Terminology Course with minimum of 3.0 or equivalent
  • Computer knowledge required Able to work in a fast paced environment with minimal supervision
  • Able to communicate effectively, especially over the telephone
  • Epic Cadence, Epic Radiant and Cupid
  • Multi-line telephone system experience perferred
  • Must have strong interpersonal, organizational and communication skills and able to remain professional and courteous when dealing with sensitivie issues and stressful circumstances.

Licensure, Certifications, and Clearances:
Clearances must be dated within 90 days.

  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
