This role will provide clerical and broad support to the Corporate Benefits staff. Perform various benefit administrative, customer service functions and clerical tasks, including responding to employee inquiries regarding benefits, office procedures, maintenance and services. The temporary assignment is expected to last 90 days.



  • Provide good public relations and customer service for the organization. Maintain a clean, organized work area that is professional in appearance for walk-ins and visitors.Work on special projects and miscellaneous job-related duties as assigned.
  • Oversee office operations, which include ordering benefits supplies and materials. Ensure an adequate supply is available when needed. Maintain unit equipment and service contracts. Ensure the office space is functional, clean and usable for events and daily business.
  • Provide assistance and customer service to walk-ins to the Employee Service Center.Respond to basic and general inquiries concerning benefits, materials and services from employees by learning and understanding general d employee benefits and processes.
  • Willingness to learn employee benefit information and customer service skills by making simple and general outbound and follow up calls to employees in an effort to learn more about and assist with the benefits department functions.Provide clear and concise information to management and staff. Assist other staff in coordinating meetings, registering guests, projects, preparation of materials and scheduling of the Employee Service Center conference rooms
  • Assist with department projects that require preliminary review and analysis of information and/or clerical handling
  • Initial review, verification and logging for distribution, various benefit documents, such as marriage certifications, Domestic Partner Affidavits and QMSCOs, Aflac and Medicare into HRMS system in an effort to assist with the benefit administrative processes.
  • Open and distribute Benefits mail and online submissions. Distribute incoming faxes for tuition, data entry, etc.Prepare and review for completeness, tuition assistance documents for processing and proactively contact employees for missing data utilizing customer service skills. File processed paperwork.
  • Scan and file benefits paperwork and periodically send files to record retention. Maintain adequate stock of surplus mailing materials..
  • Prepare, coordinate and maintain an adequate supply of all benefit materials while sorting, copying, stapling, filing, etc. Assist with triaging and logging online and paper benefit requests and forms as needed.Prepare and mail enrollment letters for new hires and status changes. Mail and/or scan QMCSO, DP and Appeals letters.


  • High School Diploma and 3 years of experience required OR Associate Degree and 1 year of clerical or benefits related experience required OR Bachelor's Degree.
  • Proficiency with Windows-based programs, such as Excel and Word required.
  • Familiarity with an HR/Payroll system is preferred. Strong customer service orientation required.
