COVID-19 Vaccination Information

Perform the duties related, but not limited to, the retrieval, distribution and maintaining of medical record information. Process designated paper portions of records for scanning operations. Ensures that all records have been received for processing and follow up on any missing records. Assist customers, internal and external, by providing medical record information per policy.


  • Answer telephone promptly and courteously; provide assistance as needed and route callers to the appropriate destination or manager for more assistance when necessary.
  • Retrieve discharged records from all patient units and clinical areas per schedule.
  • Meet productivity standards for all job tasks associated with the scanning process
  • Ensure appropriate release of information procedures are followed as required by UPMC policies, State and Federal confidentiality regulations.
  • Reconcile daily inpatient, same day surgery and emergency department accounts utilizing the appropriate procedures and applications. Follow up on all issues related to missing records and account issues.
  • Provide medical records and related information to customers per HIM department, Hospital and UPMC policy.
  • Respond to requests for records needed for patient transfers to external facilities; process requests utilizing standard procedures within required timeframes.
  • Prepare designated records and loose sheets for the scanning process. Scan records utilizing the Horizon Patient Folder (HPF) application, ensuring that the quality assurance process is followed.
  • Prepare scanned records for storage or destruction, internal or external to HIM.



High School diploma or equivalent is required.

Computer/keyboarding skills required

Ability to communicate professionally with customers.

Preferred: 1 year previous medical record department related experience preferred.

General knowledge of Pennsylvania and federal HIPAA regulations regarding proper release of information procedures preferred.

Prior experience with document imaging systems and other healthcare computer applications preferred.

Microsoft Office applications knowledge specifically Excel
