The purpose of the Academic Administrative Coordinator is to coordinate and monitor management activities and projects related to clinical or research faculty and staff, as well as assist with drafting/writing web stories about scientific articles and other topics, nomination letters for national and international awards, departmental reports, and other written products as needed. In addition, this individual will serve as a resource to administration, management, support staff, and faculty. The incumbent must have experience with higher education and hospital environments, or other similar environments, and demonstrate the ability to coordinate multiple tasks in a complex environment, and the ability to work well with various levels of faculty, staff, and outside agency representatives.


  • Performs other administrative tasks as required by the Chair.
  • Responsible for developing and maintaining effective communications and working relationships with a host of UPMC and University personnel.
  • Serve as a professional and courteous point of contact for the Chairman and his administrative offices.
  • Provide general administrative support to the Chairs offices as needed.
  • Assist Department Chair with scientific writing.
  • Draft award nominations, letters of recommendation, letters of institutional support, and related documents for the Department Chair.
  • Research and write news features on key findings by Department investigators for publication on Department website.
  • Work independently and/or with established workgroups to produce needed products/outcomes within stated deadlines.
  • Provide high-level administrative oversight to projects and initiatives within the Department, including, but not limited to, serving as an administrative facilitator to work groups, preparing reports and minutes, coordinating meetings and project deadlines, and serving as a liaison between projects/workgroups and the Chair.
  • Display professionalism, dignity, respect, and inclusivity in all interactions.
  • Ability to work with individuals at all levels, both within the Department and throughout the University as needed.
  • Superb written and oral skills.
  • Highly organized with a strong ability to multi-task and adhere to multiple deadlines.



  • Bachelor's degree.
  • Three  years' experience in a relevant clinical or research setting.
  • Experience with coordinating psychosocial research preferred.
  • Supervisory experience preferred. Ability to have a good relationship with others and engage research participants. Excellent organizational and communication skills.
  • Computer skills including knowledge of Access, Excel, and experience with word processing (Microsoft Word).
