Description - Internal

Review case request submissions from various surgeon offices and schedule patients for outpatient surgical procedures at a busy joint-venture surgery center. Assist the team and the administrators in promoting, developing, and monitoring all aspects of operations. Work in coordination with surgeon office to obtain all necessary paperwork for case to post and proceed well. Ensure proper documentation. Report any issues in real-time with administrators and team. Perform insurance authorizations and post payments to patient accounts, as needed.


  • Review and correctly document all necessary demographics and insurance information sent to the surgery center from the surgeon office for the case request.
  • Schedule surgical cases in HST, a Surgery Center specific EMR in surgeon block, noting all special items needed for each case, and communicating with the team.
  • Communicate with Unit Director and other personnel to validate requested specialty items.
  • Work directly with department to troubleshoot procedural and operations issues.
  • Reorganize cases as requested by Unit Director or Lead Surgery Scheduler.
  • Ensure that informed Consents and Surgical Guidelines are signed.
  • Validate pre-screening exam results are received, diagnostic testing, post-operative appointments, and surgical cases for all patients.
  • Obtain surgical authorizations for various insurance payors and document auth numbers.
  • Ensure all billing and insurance information is current and accurate, including primary and secondary insurance.
  • Discuss and coordinate financial arrangements prior to surgery including the collection of pre-payments.
  • Receive and post payments in patient accounts, both insurance and self-pay.
  • Act as liaison between surgery center and performing surgeon offices.
  • Attend and schedule department meetings.
  • Answer and respond to all incoming telephone inquiries regarding surgery and provides educational material, both verbally and through printed materials.
  • Complete special projects as assigned.



Qualifications - Internal

  • High school diploma or equivalent required.
  • Completion of a medical assisting program or 2-4 years of experience in medical field or 1+ years of surgical scheduling experience.
  • Proficiency in medical terminology preferred.
  • General knowledge of computer software and practice management databases is essential.
  • Knowledge of the Epic practice management programs preferred, but not necessary as this facility uses a different management tool.
  • Strong organization, time management, communication, documentation, and interpersonal skills.
  • Tact and diplomacy are necessary in dealing with physicians, patients, their families, and other employees.
  • Ability to deal compassionately and professionally with colleagues is essential.
  • Work independently and possess sound decision-making skills.
  • Knowledge of insurance regulations, specifically Medicare, BC/BS, managed care plans, and workers compensation carriers regarding scheduling and approval of surgical procedures.
  • Ability to prioritize work demands.
  • Ability to consistently maintain confidentiality with regards to all job assignments and related information.

Licensure, Certifications, and Clearances:
Clearances must be dated within 90 days

  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
