Across UPMC, our guiding principle is to always prioritize the safety of our employees, patients, and members. UPMC believes that vaccination is important, helps protect all, and advocates that everyone who can be vaccinated should be vaccinated.

UPMC complies with all governmental requirements related to local, state, and federal COVID-19 vaccination for employment. The Jan. 13 Supreme Court of the United States decision that the Centers for Medicare & Medicaid Services federal COVID-19 vaccine mandate will move forward requires UPMC to ensure employees either get vaccinated or receive a requested medical or religious exemption.

Scheduling Coordinator -Oakland (FT, Monday - Friday Daylight)

UPMC Senior Communities is hiring a Scheduling Coordinator to join its team!

This is a Full Time position, working Daylight hours. The office is located in Oakland.

Responsibilities:

  • Schedules UPMC WorkSource nursing staff and external nursing agency staff for UPMC facilities as requested by those customers in a courteous and professional manner.
  • Keeps UPMC WorkSource manager informed of nursing activity/trends within UPMC's facilities as it relates to filling supplemental nursing staff orders.
  • Responsible for placing orders within the Shiftwise VMS for any needs vended out to external agencies.
  • Data enters new WorkSource nursing staff into the Shiftwise VMS.
  • Ability to manage phone and e-mail conversations in an organized manner
  • Alerts UPMC WorkSource HR consultant and/or manager of any performance issues and policy infractions related to WorkSource nursing staff.
  • Manages schedules and determines availability of WorkSource nursing staff to best match with available nursing assignments.
  • Ensures WorkSource nursing staff and placed agency nursing staff have appropriate credentials and are compliant with regulatory standards prior to placement in any assignment.
  • Instruct and inform UPMC WorkSource nursing staff about new policy and process updates and/or changes
  • Conducts all scheduling interactions to fill supplemental nursing request orders and documents appropriately within the Shiftwise database.
  • Works with managers to fill long-term supplemental staffing needs
  • Establishes business relationships with UPMC facility contacts (AOD's, UD's, and schedulers) to best understand facility needs and ensures staffing support when requested.
  • Documents all interactions and communications with WorkSource nursing staff via Shiftwise VMS.
  • Responsible for serving as the point of contact for UPMC WorkSource's contracted nursing vendors and managing those relations.
  • Enforces UPMC WorkSource, UPMC and Nursing policies and procedures.

Qualifications

  • High School diploma is required.
  • College degree is preferred.
  • Two years of experience within a customer service and/or healthcare environment is required.
  • One year of experience within a healthcare/patient setting is preferred.
  • Excellent interpersonal, communication and organizational skills.
  • Computer skills and knowledge is required-including knowledge and proficiency with Microsoft Office programs (Word, Excel, Outlook).
