Description

UPMC is seeking an Administrative Assistant Senior in the Media Relations department role based at the US Steel Tower in Pittsburgh, PA. This role provides varied administrative support of a complex and technical nature to the Media Relations team.

Responsibilities:

  • Under general direction, provides varied administrative support to Public Relations department
  • Interacts with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality
  • Assists with editorial duties as needed, including proof-reading, scheduling distribution of press releases and compiling media reports.
  • Manages editorial subscriptions and assists with office supply purchasing
  • Assists with executive PowerPoint presentations
  • Assists with staff Kronos and expense report questions.
  • Assists with calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex executive meetings
  • Develops and sends correspondence on behalf of department and department head
  • Develops reports for executive or department. Analyzes complex information requests and determines complex trends.
  • Provides input to presentations and other department/supervisor work
  • Reviews administrative procedures and operating practices and makes recommendations to increase efficiency.
  • takes leadership role to ensure meetings flow smoothly- May make travel arrangements.
  • Performs in accordance with system-wide competencies/behaviors.
  • Performs other duties as assigned.

Qualifications

  • High school diploma or equivalent
  • 5 years experience in an increasingly responsible administrative support role
  • Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software
  • Ability to use applicable MS Suite/Office 365 products
  • Advanced knowledge of business processes and procedures
  • Ability to analyze data
  • Ability to use discretion and independent judgment
