Description
Purpose:
Strategically schedule specific project work and cycle maintenance, both internally with Facilities, Engineering, and Maintenance as well as interdepartmentally, and coordinate/stage staff through shop managers. Manage the various shop backlog for work orders and direct the processes to efficiently manage and adjust to volume and staffing through the appropriate managers. Act as liaison between clinical administration and maintenance management to ensure resolution to Environment of Care (EOC) issues that affect patients, staff, and visitors to UPMC. Work internally with Central Dispatch Center staff to assure work order processes are compliant and appropriately issued and managed. Provide various activity reports, both internally and interdepartmentally, reflecting workload, volume, backlog, project adjustments to various circumstances, providing transparency and collaborative communication tools to clients.
Responsibilities:
- Assist in formulating and revising the department Policies and Procedures, as well as periodically analyzing standard operation procedures for potential improvement.
- Compile and provide executive leadership with various reports as needed, including work order statistics, cycle maintenance schedules, billing information, labor reports, and staff productivity.
- Work with EPS Facilities to establish protocols for CMMS onboarding of new facilities, and ensure proper coding within CMMS Enterprise modules.
- Periodically review Central Dispatch Center protocols and procedures, updating the manual as needed to stay current with both technology and system-wide standards and to improve efficiencies.
- Serve as a liaison between UPMC's Facilities, Engineering and Maintenance Department, EVS, Infection Control, EHS, and Clinical Administration to oversee customer needs and concerns. Collaborate with various UPMC maintenance shops and departments (Infection Control, EHS, Security, University of Pittsburgh Facilities, Corporate Real Estate, Construction Project Management, etc.).
- Assist with the management of the day-to-day operations of the Central Dispatch Center specific to work, including workflow coverage, prioritizing activity when necessary, and assuring that the processes are appropriately secure and compliant.
- Improve workforce productivity and safety by coordinating all maintenance activities and scheduling, working one-on-one with managers to ensure that projects are completed in a timely manner.
- Provide technical support to staff in the use of the enterprise CMMS system as well as the mobile devices and mobile CMMS, utilizing both computer and mobile devices. Develop training materials for new procedures.
- Manage critical asset coding for compliance and disaster response efficiency. This includes managing and updating distribution lists for emergency notifications by working with EHS and Security.
- Manage, plan and schedule the cycle maintenance program, scheduling of the trade and room availability for them and other multi-trade and department complex projects, including hospital room availability coordination with nursing to ensure minimal downtime. Work closely with clinical administration, maintenance management, front line staff, EVS, capacity management, and room assignment staff. Effectively communicate all the department project activity to customers and provide for an efficient and safe process throughout.
- Provide oversight and strategic activity to best manage internal resources through the various department managers and support staff to reduce work order backlog. Routinely review the backlog one-on-one at regularly scheduled meetings and during meetings and interactions with individual managers, providing feedback and assistance as needed.
Qualifications
- High school diploma or equivalent and associate's degree/trade school or equivalent is required.
- Minimum one-year experience in a supervisory position.
- At least one year of experience as a dispatcher and/or call center operator is required.
- Additional training in a technology-related field is a plus.
- Skills in database systems and proficiency in Microsoft Office Programs with at least two years of experience working in an office or hospital setting are required.
- Must be proficient in CMMS system programs and managing complex tradesmen and EVS workflow.
- Strong communication and written skills with the ability to respond and/or direct staff appropriately under stressful and/or emergency situations.
