Program Coordinator, AACI


UPMC Hillman Cancer Center is seeking a full-time Program Coordinator. The Association of American Cancer Institutes (AACI) comprises 102 of the leading academic and freestanding cancer research centers in North America. AACI is dedicated to reducing the burden of cancer by enhancing the impact of academic cancer centers.

AACI advances the objectives of cancer centers by promoting widespread recognition of the cancer center network, facilitating interaction among the centers, educating policymakers, and fostering the development of partnerships between cancer centers and other cancer organizations to improve the overall quality of cancer care.

Responsibilities of the Program Coordinator will include: coordinating the day-to-day responsibilities associated with AACI programs, draft meeting agendas and summaries for all meetings, prepare reports for leadership and AACI board review, draft surveys and analyze survey data, prepare PowerPoint presentations to summarize survey responses, organize and facilitate virtual working group meetings, follow-up on action items discussed during meetings, and prepare text for the AACI websites or newsletters. Travel is required two to three times a year and the duration of travel could be one to five days at a time most likely occurs two to three times a year.

AACI Clinical Research Innovation (CRI) continues to provide a network for cancer center clinical research leaders to share best practices that promote the efficient operation of cancer center clinical research facilities. Much of CRI’s activity is organized around an annual meeting attended by more than 400 clinical trials leaders from AACI cancer centers, industry representatives, and government agencies. Member services include access to an active listserv with more than 600 members and a document library.

AACI’s Physician Clinical Leadership Initiative (PCLI) is a forum for AACI cancer center physician leaders to promote cancer center clinical and quality care programs. PCLI establishes best practices to address cancer center interests through an annual meeting and by hosting webinars on topics such as minority recruitment to clinical trials, clinical pathways, and multidisciplinary cancer care



  • Assist in managing the day to day responsibilities associated with the AACI CRI, PCLI, and other programs as needed.
  • Draft meeting summaries and minutes for the AACI annual report, initiative steering committees, website and other forums.
  • Prepares content for the CRI newsletter, blog, or other communication tools using AACI established communications policies.
  • Compiles and analyzes basic information and assists supervisor and department prepare presentations (i.e. edits, prints, basic formatting functions) for AACI Programs.
  • Contribute to maintenance of AACI's member database.
  • Prepare individual correspondence and e-mail communication tools using AACI established communications policies.
  • Assist in creating AACI survey instruments, coordinating distribution to members, and analyzing data collected for review by steering committees and/or leadership.
  • Assist in the administrative and communications infrastructure that supports AACI programs such as managing the listserv and portal accounts.
  • Provides general administrative support to a department or group of professionals.
  • Prepare reports, meeting minutes, individual correspondence and e-mail communications for other AACI programs as requested.
  • Work with the Steering Committees to implement programming, including the oversight of the activities of working groups (WG) and committees by scheduling meetings, conference calls, and webinars, creating meeting agendas and minutes, and other necessary meeting materials.
  • Assist with planning and executing the annual CRI meeting and other meetings as needed. Some travel is required.
  • Cultivate and steward professional relationships with AACI Initiative Steering Committee members and their executive staff.



  • Bachelor's degree required and experience in clinical research and/or related setting preferred.

Additional Skills include:

  • Demonstrates proficiency of Microsoft Office software products such as MS Word, MS Excel, MS PowerPoint, MS Outlook along with excellent working knowledge of a PC.
  • Preferred knowledge of clinical research methodology and processes and /or project management experienced preferred.
  • Working knowledge of clinical trials operations at cancer centers is preferred.
  • Must be able to work with minimal supervision, demonstrate excellent interpersonal, verbal and written communication and organizational skills.
  • Experience using survey tools, desired.
