Description
UPMC's Heart and Vascular Institute is seeking an Administrative Coordinator to support physicians in our Cardiology Division at UPMC Presbyterian Hospital located in Oakland/Pittsburgh, PA! This position has the opportunity to work from home two days per week.
Duties for this position include but are not limited to, scheduling meetings, making travel arrangements, organizing expenses and reimbursements, managing calendars, etc. This employee will also be responsible for working closely on the Fellowship Program with the physician and assisting the physician with a college medical course.
Purpose:
Under general direction, coordinates the workflow of administrative and/or clerical employees and provides varied administrative support of a complex and technical nature to single or multiple department(s) or a division.
Responsibilities:
- Performs all responsibilities of an Administrative Assistant Sr (scheduling meetings, submitting expense reports, scanning records)
- Assist physician with University of Pittsburgh School of Medicine Cardiology (UPSOM) Sophomore Course:
- Production of digital and printed course materials using Adobe publication software
- Updating course web content
- Communicating with course faculty and students to schedule meetings
- Assist physician with UPSOM Cardiology Consult service elective:
- Monitor monthly student registration for the elective
- Schedule conferences
- Provides input to presentations and other department/supervisor work (i.e., supervisor provides general thought and ee will draft more material based on initial ideas)
- Reviews administrative procedures and operating practices and makes recommendations to increase efficiency.
- Develops reports for executive or department
Qualifications
- High school diploma or equivalent
- 5 years experience in an increasingly responsible administrative support role
- Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software
- Ability to use applicable MS Suite products- Advanced knowledge of business processes and procedures
- Working knowledge of accounting and financial principles and functions
- Ability to analyze data
- Ability to use discretion and independent judgment
