Description

Reporting to the Director of Materials Management Programs & Quality, the Program Manager provides internal direction, leadership, and accountability for the materials management programs, QSight Program and Pandac Program, for the perioperative areas. Serving as UPMC Supply Chain Management's Program Manager of Perioperative Services, your responsibilities will be to serve as the operations leader for the materials management programs, QSight Program and Pandac Program, across the system for catheterization, interventional radiology, perioperative areas, and other high-profile areas with significant inventory spend. The primary role of this position is to work with UPMC Supply Chain, hospital operations, outside vendor, and suppliers to provide program oversight for the in-scope perioperative areas including the processes for inventory management, expiration management, consignment management, order management, and other processes, such as training and education, to support the perioperative areas to ensure only approved products are used.

This role will support the Southwest PA, Northwest PA, and New York regions.

Responsibilities:

 

  • Program oversight for the materials management programs, QSight Program and Pandac Program, deployed in the perioperative areas with significant spend to include the functions: inventory management, expiration management, SKU rationalization, order management, and quarterly report-outs with the service line owners, executive leadership (VP?s), and supply chain management. Analyzes and organizes key information necessary for management team to project annual budget and savings targets for the procedural areas considered in-scope.
  • Responsibility to assist and support cost containment initiatives for the materials management programs across UPMC for QSight Program and Pandac Program.Manage effective communications between the materials management and the clinical teams.
  • Responds quickly to physician and staff requests, including any concerns or product issues. Identifies opportunities for service improvements, cost reductions and product standardization, conducts research in support of these initiatives and works with category leads and value analysis to move recommendations forward in the vetting process.
  • In conjunction with value analysis and service line leaders, develops strategic product alternatives when standard products are on manufacturer backorder or recalled and provides timely communication to clinical staff with regular updates on progress. Manages and oversees the system-wide inventory levels of consigned product and negotiate with vendor representative to ensure product availability for surgical case load while minimizing UPMC owned products for these commodities in sites that are in-scope.
  • Serves as single point of accountability for the success of the QSight Program, Pandac Program, and charge capture program for in-scope areas. Directly responsible for proactive ordering to reduce expedited freight and courier shipments. Accountable for system-wide results across the perioperative areas.
  • Collaboration with each facilities Material Management leader to ensure seamless processes for the supply chain staff and clinicians. Implement, maintain, and train/educate on accurate processes for the materials management programs, QSight Program and Pandac Program. Actively participate in the implementation of new services and programs. Concise and standard documentation for the materials management programs, Qsight Program and Pandac Program, for deployment, training, education, and on-going support and process improvement.
  • Documentation includes the following: agendas, status reports, metrics/reporting, training documents, and other documents. Actively participate in the future implementation and program oversight of new materials management programs for the perioperative areas.
  • Performs in accordance with system-wide competencies/behaviors. Performs other duties as assigned.

 

Qualifications

  • Bachelor’s degree or 10 years of experience in healthcare supply chain management.
  • Knowledge of Supply Chain Management required.
  • Lean process improvement or six sigma experience preferred.
  • Business analysis, strategic thinking, strong communication skills and relationship building with strong influence and change management abilities required.
  • Sale/customer interfacing experience preferred.
  • Management of complex processes preferred.
  • Advanced degree in Healthcare or Business Administration or similar (MS, JD, etc.) is preferred; ISM (Institute for Supply Management) CPM (Certified Purchasing Manager), and/or APICS (American Production & Inventory Control Society) PMP (Project Management Professional) and/or CIRM (Certified in Integrated Resource Management) is desired
  • Demonstrated experience managing matrix reports and cross-functional teams (including team members from multiple business units and different operational departments).
  • Proven ability to provide leadership to teams and establish strong customer relationships.
  • Excellent management, problem solving, organizational, and communication skills (oral and written) are required.
