Lead Facilities Dispatcher

Description

Purpose:
Provides lead-level support in the routine and emergency response to general operational occurrences in various UPMC facilities. Coordinate decision-level assignment in relation to the prioritizing of events and perform training duties in the absence of the Supervisor. These systems and operational issues are of various degrees and include fire alarm response, housekeeping dispatch, scheduling/planning, data retrieval and entry, vertical transportation, etc.

Responsibilities:

  • Performs other duties as assigned.
  • Performs in accordance with system-wide competencies/behaviors.
  • Assure that elevator downtime reporting and communication with vendors are reliable and consistent.
  • Assist with monthly invoicing by retrieving, compiling, and correcting data as requested.
  • Assist management with a cycle maintenance program, enter, distribute and update work orders.
  • Assist management with data research regarding risk assessment, incidents, etc.
  • Assist management with Transitional Maintenance Projects (TMP); i.e. create, update and perform system checks for lost data.
  • Review and revise TMS reports daily to ensure appropriate coding.
  • Review daily all work order activity reports and error reports, make revisions as needed.
  • Obtain and distribute critical asset coding to identify special requests including flood response, TJC and DOH tracking, cycle maintenance, etc.
  • In the absence of a direct supervisor, review scheduling needs for Dispatch Center; includes PTO approval, staff coverage for holidays, etc., ensuring dispatch lines are covered 24 hours per day, 7 days per week.
  • In the supervisor's absence, assume all workflow responsibility.
  • Perform all duties of a Facilities Dispatcher.
  • Serve as a role model of service excellence for the institutions by providing quality services that are responsive to client needs, proactive in scope, and accessible in nature.

Qualifications

  • High school diploma or equivalent is required.
  • Minimum one year experience with dispatch responsibilities and data entry.
  • Good human relations, technical, and knowledge related to basic maintenance and housekeeping operations are required.
  • Good analytical skills as it pertains to resolving facilities operations problems.
  • Must exhibit skills in database systems and proficiency in Microsoft Office Programs.
  • Ability to organize and direct routine and emergency response by a variety of staff with tact, persuasiveness, clarity, and forcefulness.
  • Must possess strong written skills, as well as the ability to follow detailed written directions.
  • Must be able to respond and direct staff appropriately under stressful or emergency situations.
