We are searching for a Staff Associate to join our team.  The Staff Associate operates similarly to a Chief of Staff, working with urgency and driving results through effective communication, leadership and organziational skills.

The Staff Associate serves as a liaison to the Chief Diversity, Inclusion and Talent Management Officer, in all areas of responsibility for the Center for Engagement & Inclusion, Learning & Development, Human Resources Innovation & Experience, and Talent Management/Organizational Development.  This includes participation on and strategic guidance to committees, attendance at leadership meetings, operational duties, budget management, and representation at various forums as well as all other requests specified below.  The Staff Associate is also responsible for managing all special projects under the guidance of the Chief Diversity, Inclusion, and Talent Management Officer.

Responsibilities:

  • Plan and direct all administrative, financial, and operational activities for the Chief Diversity, Inclusion, and Talent Management Officer (CDITMO). Organizes and prioritizes critical issues and required information for the CDITMO to facilitate efficient decision making.

  • Directly report to the Chief Diversity, Inclusion, and Talent Management Officer. Establish collaborative working relationships with UPMC executive management and business unit partners to identify needs and design plans to address needs as a thought leader.

  • Coordinate the execution of strategic initiatives with Direct Reports of CDITMO. Identify strategic intersections among the Center for Engagement & Inclusion, Learning & Development, Human Resources Innovation & Experience, and Talent Management/Organizational Development to leverage team efficiencies.  Assess inquiries directed to the CDITMO, determine the proper course of action, and delegate to the appropriate leader to manage.

  • Lead development of communications on behalf of the Chief Diversity, Inclusion, and Talent Management Officer and/or research in support of these. Communications range from the CDITMO update at Board meetings, executive leadership forums, and to various speaking engagements involving external audiences.

  • Work with cross-functional teams on a variety of operational project initiatives, including documentation of new processes and procedures and refinement of existing processes and procedures.

  • Review upcoming and routine meeting schedule and prepare appropriate documentation regarding subject matter.

  • Facilitate team and goal meetings for all four departments to ensure development and tracking of team goals to support broad functional objectives.

  • Collaborate with team members to resolve business problems, evaluate issues, mitigate risks, and facilitate decision-making.  Provide project management, analytical, and content expertise support on operational activities and system-wide initiatives

  • Work to develop key metrics for analysis and standard reporting strategies throughout the division to develop analytical reports for use in strategic planning and decision making.

  • Develop and carry out division wide initiatives focusing on employee engagement and the UPMC Experience.  Serve as main point of contact for all engagement events and activities by leading project teams.

  • Manage internal and external communication projects for each team, including websites and social media community activities.

  • Manage all aspects of the Charitable Giving sponsorship approval process including strategic partner agreements and deliverables with key community partners.

  • Provide supervision, oversight and management to staff to ensure the skills acquisition and leading-edge competencies for the workforce. Develop key content for leadership and staff development learnings.

  • Design collateral material to support systemwide employee engagement strategy.

  • Lead execution of special projects across the department designed to create a culture of excellence.

  • Central liaison for survey requests, communicates with each organization, coordinates the requested information and responds to the surveys

  • Remain current on Human Resources best practices through training and benchmarking activities

  • Performs in accordance with system-wide competencies/behaviors. 

  • Performs other duties as assigned.  

Qualifications

  • Bachelor's degree required.
  • 5 years of progressive diversity and inclusion, as well as learning and development, experience with a heavy emphasis on business operations, cultural competency and change management programs required.
  • 7-10 years of progressive diversity and inclusion, as well as learning and development, experience with a heavy emphasis on business operations, cultural competency and change management programs is strongly preferred.
  • 5-10 years of managerial experience in a similarly positioned, complex healthcare organizations preferred.
  • Organizational and political agility; developed negotiation; results/action-orientation; project management skills required.
  • Excellent interpersonal, cross-cultural communication, diversity, organizational and problem-solving skills are a must.
  • Demonstrated ability to work effectively with a culturally diverse workforce and provide leadership in organizational change.
  • Excellent organization and time management skills with proven ability to take initiative and work independently while also providing support to internal colleagues required.
  • Innovative and flexible approach to problem solving with a focus on continuous improvement and best practices with the ability to influence and promote new ideas required.
  • Highly proficient with all Microsoft Office applications with significant Excel and PowerPoint experience is required; experience with Microsoft SharePoint preferred.
