University of Pittsburgh Physicians Graduate Medical Education Department is hiring a full time Program Specialist to join their team in Oakland, PA! Responsibilities:
- Develop and maintain excellent relationships between Project Specialist and department administrators, site administrators, practice manager, and other users.
- Populate existing data fields; oversee design of new data fields as needed.
- Oversee all aspects of Physician Services Division Clinical sites database, including data updating, utilization, reporting.
- Initiate relationships with other business units to maximize effectiveness of database.
- Serve as liaison between Senior Physician Services Division Management, departmental and ISD representative, database developers.
- Respond to business/reporting requests by Senior Management Staff, clinical departments and practices.
- Serve as a liaison between the Physician Services Senior Management staff and key client users as required.
- Oversee the on-boarding process for the residency programs - Prepare for new interns including, but not limited to mailing of contracts and all material required for their appointment, applying for their Medical Training licenses, basic life support/adva
- Maintains comprehensive personnel/performance files (including confidential evaluations and counseling records) and portfolios for fellows/residents and graduates of the training program(s).
- Coordinates the entire residency recruitment process including scheduling interviews, monitoring and tracking interview evaluations and candidate files utilizing the ERAS application data system for applicant selection, and , collecting division and ins
- Develops, maintains, and oversees fellowship/residency program(s) recruitment policies and procedures that are consistent and compatible with those adopted by the hospital and the Graduate Medical Education Committee.
- Collaborates with divisional personnel to assist with maintaining recruitment efforts, diversity initiatives, scholarly activity reporting and any other projects deemed necessary by Program or Division leadership.
- Plan and organize the week of orientation including annual revision of IM policy procedure manual, arranging parking and transportation, GME Orientation, computer training, VA training, BLS/ACLS training, TB and PPD testing, ID photos, dispensing schedul
- Facilitates submission of all documents for and monitors maintenance of appropriate licensure, visas, certification of all residents, and completion of Requests for Verification of Training. Work with the Graduate Medical Education office in the payroll
- Responsible for the comprehensive leadership and coordination fellowship/residency recruitment, on-boarding, alumni, and diversity endeavors for Graduate Medical Education programs in Internal Medicine.

Qualifications
- B.A degree in Business, Health Care Administration or related field and 2 years of experience preferably in a health care setting. OR
- Associate's Degree in Business, Health Care Administration or related field and 4 years of experience preferably in a health care setting.
- Knowledgeable in the organization and function of an academic medical center this would include clinical and physician's office practices.
- Familiarity with oracle database function and capabilities is preferred.
- Excellent knowledge of software packages including Microsoft Word, Excel, Access, PowerPoint and Outlook is preferred.
- Present effective interpersonal skills in dealing with executive leadership, clinical department administrators, managers, etc.
