Summary:
UPMC is hiring a full-time Surgery Scheduler for the Shadyside location. Monday - Friday daylight shifts. The Ophthalmology Department continues to grow and expand daily. We offer over eleven sub-specialties in eye care and are on the cutting edge in research studies and trials. This position is unique as it would have room to grow administratively in their role as they took on new tasks.
This position is unique as it will give the right candidate room to grow and learn many different things and challenge themself in many different directions. This position will allow the candidate to work one on one with patients, physicians, staff, and as well as on their own, making it a well-rounded position for someone who does not like to continually do the same tasks day in and day out.
Responsibilities:
- Candidate will primarily work coordinating and scheduling patients for outpatient surgical procedures. This list includes, but is not limited to:
• Prepare and forward all necessary admission reservations/requisitions, including demographics/insurance information to hospitals.
• Coordinate cases and communicate with hospital personnel to obtain approval for hospital admissions.
• Ensure that informed consents are signed.
• Provide patients with pre- and postoperative instruction according to service specific guidelines.
• Schedule pre-screening exams, diagnostic testing, post-operative appointments, and all surgical cases for pts.
• Ensure all billing and insurance information is current and accurate.
• Obtain pre-certification and/or referral prior to the date of the procedure.
• Answer and respond to all incoming telephone/in-basket inquiries regarding surgery and provide educational material to patients.
• Discuss and coordinate financial arrangements prior to surgery including the collection of pre-payments.
- Candidate will work closely with physicians that they are assigned to schedule for and therefore be asked to follow specific protocols/guidelines for these physician’s preferences in scheduling (i.e. how surgical charts are to be prepared for OR, physician’s expectations, etc.).
- Candidate will spend other time supporting administrative staff with assigned duties that include, but are not limited to:
• Pulling voicemails and calling patients.
• Assisting with reschedules of pts.
• Assisting with prior authorizations/prescription requests/in-baskets, etc.
• Back-up front desk staff as needed if out on vacation or ill.
• Incoming faxes/mailing letters.
• Any other admin duties as assigned
Qualifications
- High school diploma or equivalent required. Completion of a medical assistance program or two (2) years' experience in a medical field.
- Proficiency in medical terminology preferred. A general knowledge of computer software and practice management databases is essential. Knowledge of the Epic practice management programs preferred.
- Prior experience in ophthalmology terminology preferred.
- Knowledge of insurance regulations, specifically Medicare, BC/BS, managed care plans and workers compensation carriers regarding scheduling and approval of surgical procedures. Ability to prioritize work demands. Ability to consistently maintain confidentiality with regards to all job assignments and related information.
