Description

UPMC has an exciting opportunity for an Office Manager within Community Care Behavioral Health (CCBH) based in Moosic, PA! This is a regular, full time position with hybrid work arrangements. 

The Office Manager is directly responsible for the day-to-day operation of the satellite office administrative support functions. This includes supervision and evaluation of the administrative support staff. The incumbent is responsible to manage and coordinate the administrative and clerical support to the Regional Director and other department Directors and Managers by assigning workflows to subordinate staff. This shall include staffing meetings with persons from external agencies, governmental agencies and oversight entities. General administrative skills include taking minutes at meetings, coordinating the creation of packets of information for the meetings. Also required is the ability to use MS Office products including Word and Excel, the ability to use office equipment (e.g., fax machine and copier) and excellent customer service skills both on the phone and in person.

Responsibilities:

  • Provides administrative support to the Regional Director
  • Prepares all agendas for Clinical-Operations and Management meeting.
  • Hire staff, track performance of employee competencies, manages staff performance, time and attendance, disciplinary action and termination.
  • Demonstrates working knowledge of different computer software packages and assists others with questions or problems related to the computer.
  • Makes travel arrangements, hotel accommodations for Management staff
  • Responsible for assuring that the offices are compliant with all administrative-focused centralized policies and procedures
  • Prepare power point slides and handouts for internal, county and state presentations
  • Acts as liaison with landlord for facility/plant operations issues.
  • Purchases office supplies and tracks inventory
  • Review all incoming correspondence to prioritize and disseminate correctly as well as prepare appropriate responses
  • Manages all administrative staff.
  • Institute and conduct all phases of office procedures, organizing, maintaining schedule/appointments and coordinate projects
  • Prepares purchase requisition forms for department purchases in accordance with budget restrictions.
  • Coordinates meetings and correspondence as necessary in connection with the State's HealthChoices Program.
  • Excellent written and oral communication skills.
  • Responsiveness to deadlines.
  • Ability to handle confidential information in an appropriate manner.
  • Flexibility in restructuring priorities as needed.
  • Excellent computer skills.
  • Ability to take and transcribe minutes in various meetings.
  • Excellent telephone skills.

  • Ability to attend meetings and provide administrative support including evening meetings and projects.
  • Ability to work with numerous levels of staff.
  • Ability to assign appropriate workflows to subordinate staff and monitor results
  • Provides administrative support to other officers or directors of Community Care as requested.

 

Qualifications

  • Bachelor's Degree in Health Care or Business + 1 year experience
  • OR Associate's Degree in Health Care or Business + 3 years of experience
  • OR High School Diploma + 5 years of experience
