Description
Purpose:
Under the direction of the Program Director, is responsible for activities that support and maintain the medical residencies and residents associated with the Department of Dental Medicine.
Responsibilities:
- Approve the monthly resident payroll form for the Department.
- Coordinate the resident recruitment process for the Oral and Maxillofacial Surgery program and the Advanced Hospital Dentistry Program.
- Oversee and maintain general files and correspondence files for the resident programs.
- Coordinates projects related to the residents' participation in local, national, and international societies/committees.
- Coordinate travel arrangements and the preparation of registration materials.
- Coordinate the processing of all forms and tasks necessary for the matriculation of the residents.
- Responsible for the distribution of mail within the various programs.
- Respond to correspondence that is general in nature.
- Transcribe and edit manuscripts, abstracts, grant applications, correspondence, and computer generate slides as well as the current curriculum vitae for the directors and residents of the program.
- Generate monthly program and call schedule.
- Coordinate master calendar schedule, incorporating local, state, and national meeting dates as submitted by faculty.
- Oversee and maintain general and correspondence files for the two programs.
- Plan and organize the annual Department Resident Graduation activities.
- Act as a liaison for the Department with the Office of Resident Education, the School of Dental Medicine, and the Office of Risk Management.
Qualifications
- High school graduate or equivalent
- At least two (2) years of formal secretarial training, accompanied by 2-4 years of secretarial experience in a similar job situation, or an equivalent combination of education and experience.
- Working knowledge in the use of personal computers and medical/dental terminology required, knowledge of Microsoft Word, PowerPoint, and Excel preferred.
