Sr. Events Manager, MWRIF


UPMC Magee-Womens Hospital is seeking a Full-time Sr. Events Manager, MWRIF to support the 3001 - 3001 Magee Health Foundation department!

This position will work Monday – Friday with occasional weekends/evenings. Hours are subject to change based on business needs.

The Magee-Womens Research Institute & Foundation (MWRIF) is seeking a Senior Event Manager to join a progressive team. The MWRIF is a non-profit foundation created to support the mission of UPMC Magee-Womens Hospital (MWH) and the Magee-Womens Research Institute (MWRI). MWRI is the largest independent research institute in the U.S. that is focused on womens health and reproductive biology. The foundation raises philanthropic support to fund research, programmatic and capital priorities of these organizations. The Senior Event Manager will oversee the strategic planning, development, implementation and management of high-quality prospect/donor events and meetings, both internal and external. The candidate will create annual and proposed event budgets and progress reports including ROI. Additionally, will consult and partner with colleagues to conceptualize, develop, and market events using goals, themes, audiences, and culture. Recruits, hires and manages events staff.


  • Act as a committed member of the MWRIF team, maintain confidentiality of work place information according to the UPMC, MWRIF, and University of Pittsburgh policies and procedures.
  • Manage planning and execution of events on behalf of MWRIF
  • Assume responsibility as the principal event organizer and executor of all components related to MWRIF events and perform all functions timely, completely and in the established style. Work closely and positively with the Office of the CEO on associated unique activities.
  • Demonstrate independent decision making including financial management responsibilities. Offer creative and resourceful ideas, suggestions and expeditiously implement concurred decisions with regard to event design, decor, and ambience.
  • Manage specialized and high profile events/meetings from initial concept to completion in collaboration with the MWRIF team and at the direction of the Executive Director and CEO. Exercise creativity, leadership and expertise in event/meeting planning; set achievable goals and ensure positive results in order to foster and maintain MWRIF recognition and image.
  • Responsible for planning and executing all travel, lodging and logistics for international guests. Oversee the management of staff and event planning staff.
  • Solely responsible for all itineraries, arranging of scheduled events, meetings, site visits, travel logistics, etc. Create templates of new and/or unique domestic business visits to be used internationally.
  • Supervise and execute all logistical and financial management responsibilities for assigned events/meetings. Cultivate and maintain positive relationships with outside vendors and MWRIF, UPMC, and University of Pittsburgh leadership.
  • Supervise, direct and manage event/meeting support staff, subcontractors and other vendors assuring expectations are known, organizational requirements are met and desired outcomes achieved. Assist in the selection and procurement of gifts for specific events, guests and corporate administration.
  • Willingly work after hours, holidays and weekends to meet the demand of the event or project. Interface with all VIP guests throughout their domestic visits to ensure seamless transitions and logistics for all visitors.
  • Serve as the overall project manager and lead event planner for the bi-annual Magee-Womens Summit. This function includes management of speakers, coordination of CME accreditation, communication with marketing for event promotion and development of collateral materials, establishment of timelines, and development and monitoring of budget.
  • Develop a strong events team at MWRIF via mentorship, employee development, hiring, and training of appropriate personnel to facilitate the mission of the organization.
  • Plan and execute itineraries for MWRIF VIP visitors and ensure a seamless experience in their experience from their travel to and from the MWRIF interaction until they return to their final destination.
  • Oversee post-event functions such as post-event debrief, financial reconciliation, recognition of volunteers, and other functions as needed by the organization.
  • Perform financial functions such as development and monitoring of budgets, determination of Cost of Goods for sponsorship purposes, payments of invoices and vendors, gift processing, and all other financial functions for events.
  • *Performs in accordance with system-wide competencies/behaviors.
  • *Performs other duties as assigned.



  • Minimum 5 years of experience in event/meeting planning, public relations, marketing or development.
  • B.A. degree in related field or minimum 7 years of experience in event/meeting planning, public relations, marketing or development with a High School diploma.
  • Ability to communicate and interact effectively with all levels of the organization and with diverse audience of regional, national and international government and business officials.
  • Senior event manager must possess technical and professional skills in management as well as strong interpersonal, organizational, problem solving and communication skills.
  • Strong leadership and management skills required to give direction, supervision and guidance to individuals involved in event/meeting planning assignments.
  • Ability to effectively plan, organize and manage expansive, high profile events according to established standards and within the allotted time frame.
  • Knowledge of domestic and international travel planning and logistics.
  • Proficient in use of Microsoft Word and Excel software.
  • Ability to work in a collaborative manner with colleagues.
  • Ability to adapt to and address unexpected on-site developments and changes while maintaining composure and professional demeanor.
  • Ability to keep confidential information confidential.
  • CMP and/or CPCE certification is preferred/encouraged
